The Administrative Assistant and Bookkeeper provides office support, clerical, and daily bookkeeping tasks to ensure New Harvest adheres to best practices and requirements for non-profit business operations and reporting. Efficient time management, excellent organizational skills, and attention to accuracy are essential qualifications for this position. As New Harvest has entities in the US, Canada, and the Netherlands, our ideal candidate is fluent in English and Dutch.
The position reports directly to the Chief Operating Officer. The role is part-time (24 hours over three days a week) and is fully remote, but candidates must be based in the US or Canada.
GENERAL RESPONSIBILITIES
Bookkeeping: Performs bookkeeping duties to support New Harvest operations..
- Maintaining accurate and up-to-date financial records using Quickbooks. Recording and classifying financial transactions, including income, expenses, and other financial activities in accordance with accounting principles and nonprofit regulations.
- Processing invoices, payments, and receipts. Managing accounts payable and receivable and grant payments by accurately recording and tracking transactions and maintaining clear and prompt communication with vendors and grantees.
- Assisting in the monitoring of the organization’s as well as project budgets. Track income and expenses against the budget and provide regular reports to the management team or relevant stakeholders.
- Assisting the controller with preparing for annual audits and other financial reviews by providing necessary documentation and support to ensure nonprofit regulations and accounting standards compliance.
- Helping to document and maintain financial policies and procedures that promote sound financial management practices and internal controls.
- Assisting the Development Director with maintenance of accurate records of donor contributions and pledges and assisting with donor reporting and communication as required.
Operations and Compliance: Performs administrative duties to advance New Harvest’s work with clarity and accountability.
- Managing general New Harvest email accounts and responding to and/or directing inquiries to the appropriate member of staff.
- Maintaining and submitting documentation for liability and other required insurance policies.
- Maintaining a compliance calendar and record keeping system, to ensure audits, federal, provincial, and state audits and registrations are maintained.
- Assisting the management team with preparing and submitting federal, provincial, and state documentation for registration, payroll, and compliance purposes.
- Performing administrative tasks to maintain organizational health and compliance, sending out contracts, documents, meeting invitations, etc.
- Maintaining organized file systems and internal documentation
- Assistance with knowledge management systems including documentation processes and keeping our employee handbook up to date.
- Performing multifaceted general office support
QUALIFICATIONS & SKILLS
- Fluency in written and spoken English and Dutch preferred
- Advanced Quickbooks and Google Suite skills, with an ability to become adept with organization-specific programs and software

This position is part-time and pays $30/hour USD for a three day 24 hour work week. The position is not eligible for benefits. It is fully remote and work hours are in PST.
